Many companies hope to communicate customers via ONE mailbox for whole company or a department. Take sales department as an example, it will be very good that all salesmen could tell customers all their mailboxes are "sales@share.com". Look above picture, your customers send mails to you via "sales@share.com" with different names, and then AA Mail Server will auto distribute each mail to the correct recipients according to its specified name.
Yes, AA Mail Server can help you easily build up such a mail server. Firstly, you need to create a domain with "Share mail server mode". Then you will see two more "Account type" options: Special Manager and Special local staff". Just create a mailbox "sales@share.com" as manager, and others as local staff. When you create local staff account, you are required to specify its manager.
Case 1. Incoming Mails To (sales@share.com)
Let's assume that an external customer sends a mail to manager mailbox "sales@share.com", which is without a speicfied name. All its staff will receive this mail when you have checked on "Auto transfer unnamed mails to all its staff" option on manager account property. Otherwise, this mail will stay in manager mailbox, and you can login Webmail to "Transfer" (other than "Forward") the mail to one or several staff.
Case 2. Incoming Mails To "Alex" (sales@share.com)
If an external customer sends a mail to "Alex" , which is speicfied to "Alex", AA Mail Server will auto distribute the mails to its local staff who has the name "Alex". At same time the manager account will receive a copy of this mail. Manager will only receive copies of external incoming mails.
Case 3. Alex Sends Outgoing Mails To External Customers
If Alex sends a mail to another local account, the target account will see this mail coming from "alex@share.com". When Alex sends it to an external customers, the customer will see this mail coming from "sales@share.com", because AA Mail Server have auto-revised its sender to manager mailbox.
The manager mailbox will aso auto receive a copy of this outgoing mail. For local staff, you can also check on "All outgoing mails need to be checkuped before sent out" option in its account property. Then you can login Webmail to checkup these outgoing mails and give them one of three disposal: allow send it out, Reject it with failure notice, delete it without notice to the sender.
